Things people ask before booking
Do I need to buy a Canvass report to use this service?
No. Travel Coordination is standalone-eligible. Anyone can purchase it.
How does working with a travel advisor work?
Start with a 30-minute call to discuss dates, recovery window, budget, and preferences. No commitment required at the call. From there we stay in regular communication, sourcing options across flights, hotel, and ground as your trip comes into focus. You choose; we book and confirm with suppliers. The full itinerary lands well before departure.
What documents or info do I need to provide?
Passport details, known traveler / Global Entry numbers, frequent flyer and hotel loyalty numbers, dietary restrictions, mobility or recovery needs, and a primary phone. After booking, you'll complete a secure intake through Fora Vault, our agency's encrypted document portal.
When will I receive my itinerary and confirmations?
Confirmations arrive within 24 hours of each supplier confirming. The consolidated itinerary lands no later than 7 days before departure.
Are prices guaranteed?
Not until a deposit confirms the booking. Quotes can move with supplier availability; we flag changes the moment they happen.
What happens if something changes or needs to be cancelled?
Changes and cancellations follow each supplier's policy. We surface those terms before you book and coordinate the request, but the refund or rebooking comes from the supplier. Notify us as early as possible to keep options open.
What if my surgery is rescheduled?
We rebook with suppliers based on their cancellation and change policies. We coordinate the timing; you don't manage it.
How do I contact you during the trip?
You get a direct phone, email, and WhatsApp at booking. We're available across your travel window; explicit office hours and after-hours contact go in your pre-trip briefing.
Do I need travel insurance?
We strongly recommend it. Surgical timing leaves the trip unusually exposed to delays and cancellations. We book through Faye or Arch RoamRight, and coverage can apply to the full trip cost even when one component is nonrefundable. We are not licensed insurance agents, so policy and claims questions go to the insurer.
Can I use my hotel reward memberships?
Yes. We add your loyalty number at booking so you earn points and the stay posts to your account. Marriott Bonvoy, Hilton Honors, Hyatt, IHG, Accor, and Kempinski are supported. Where available, we book member rates (typically 3–5% cheaper). Your name has to match the loyalty account exactly.
Can I use airline miles for business or first class?
You can earn, not redeem. We add your frequent flyer number to the booking so miles post to your account, but miles can't pay for the ticket itself. Some clients offset the charge with credit card points after booking.
Do you charge a service fee?
Yes. $499 once, at booking. Refundable before research begins; non-refundable once sourcing starts. See our refund policy for details.
How does Canvass earn money on the travel side?
Travel suppliers (airlines, hotels, ground operators) pay standard travel-agent commissions to Fora, paid by suppliers not by you. The $499 is a one-time service fee that covers the cost of a specialized travel advisor coordinating the logistics of your trip.
